Terms of Participation and Payment Terms

NCQA hosts/provides certain events and programs. Program participation is subject to these Terms of Participation (“Agreement”). We encourage you to read this Agreement carefully. You may not register or join an NCQA program if you do not agree to the terms of this Agreement.

By registering for and/or joining a program, you accept and agree to be bound by the terms of this Agreement, and to applicable terms and conditions, policies or disclaimers herein.

HEALTH AND SAFETY

NCQA holds in-person programs. NCQA is committed to adhering to all federal and state laws, and closely monitors federal, state and local government guidelines for ongoing concerns related to COVID-19 as well as other public health concerns. The safety of our staff, speakers and guests is our top priority. More information on health and safety protocols will be provided closer to the event, as needed to address local public health requirements and any prevailing public health guidelines.

Attendees should recognize and accept the inherent risk in attending events in person.

PROGRAM MATERIALS/COPYRIGHT

Program materials are owned and copyrighted by NCQA. Distribution of program materials, or use thereof outside a personal, noncommercial purpose, is strictly prohibited. NCQA does not sell or provide additional copies of program materials.

RECORDING

The use of any recording devices during a program is prohibited.

USE OF NAME/IMAGE AND AUDIO/VISUAL RELEASE

By participating in an NCQA program, you agree that NCQA may use your image or likeness (including, but not limited to, motion picture, photograph, slide film, digital image, digital video recording and/or videotape), audio recording and name.

You also grant NCQA authority to video and/or audio record and transcribe/reproduce the program for use in future programs. NCQA will own all rights and titles in the finished recording, including copyright, and in any publication of the program and future materials.

DISCLAIMER

Programs are provided “as is.” NCQA makes no warranty, express or implied, with respect to information or materials delivered pursuant to this Agreement, or to any program, including, without limitation, any warranty of merchantability or fitness for any particular purpose; any warranty that the program is free from infringement of patents, copyrights, trademarks, trade secrets or other rights of third parties; and any warranty to the accuracy quality, reliability, suitability, completeness, truthfulness, usefulness or effectiveness of the program.

INDEMNITY

You shall indemnify and hold harmless NCQA, and its directors, officers and employees, from and against any and all liability, loss, cost, expense (including reasonable attorney fees), damage or claim (“losses”) arising from a third-party claim made or brought against NCQA related to your participation in a program or a breach of this Agreement. You shall promptly notify NCQA of any and all claims brought by a third party.

LIMITATION OF LIABILITY

NCQA’s liability shall otherwise be limited to actual and direct damages, not to exceed $1,000.

If you choose to attend an event in person, your registration constitutes your full assumption of any risks associated with COVID-19 and other communicable conditions. NCQA and its personnel shall not be responsible or liable to you, your employer or any third party for any personal or bodily injury arising from or related to COVID-19 or other communicable condition, including, but not limited to, death.

Your liability to NCQA arising under this Agreement, whether in contract, tort or otherwise, shall be limited to actual and direct damages. You shall have no liability for incidental, special, consequential or other indirect damages arising under or related to this Agreement, whether or not you have been advised of the possibility of such damages.

Some jurisdictions do not allow exclusion or limitation of liability for consequential or incidental damages; thus, the above limitation may not apply to you.

LEARNING MANAGEMENT SYSTEM (AS APPLICABLE)

NCQA employs a Learning Management System (LMS) to facilitate its programs. You must register and open an LMS account. Complete the registration process by providing us with current, complete and accurate information, as prompted by the registration form. Choose a password and a username. You are responsible for keeping your account information and password confidential, and for all activity that occurs under your account. You are prohibited from sharing your LMS account. You agree to notify NCQA, without delay, of any unauthorized use of your account, or any other breach of security. Unauthorized use of your LMS account may be subject to appropriate fees.

ACCESS AND ACCOMMODATIONS

Submit requests for disability accommodation, and other special requests, through My NCQA at least 14 business days before an event.

HOTEL ACCOMMODATIONS

After you receive confirmation, contact the facility where the seminar will be held to reserve your room. Refer to seminar descriptions for locations and contact information. We strongly recommend that you make reservations early; rooms and rates are based on facility availability. NCQA does not validate or reimburse seminar parking. NCQA LOCATION

NCQA offices are located at 1100 13th Street NW, Third Floor, Washington, DC 20005.

DRESS

Casual business attire is appropriate. Meeting rooms tend to be cool. We recommend that you bring a sweater or light jacket.

PAYMENT TERMS

NCQA education and training programs are subject to the Education and Training Program Payment Terms (“Terms”). You may not register or join NCQA programs if you do not agree to these Terms. By registering for and/or attending program(s), you agree to be bound by these payment Terms.

REGISTRATION AND PAYMENT

Payment in full is required to process your registration. Register online and pay with a credit card or by eCheck. For payments by check, navigate to the desired program at NCQA Education and Training, click the Register button, add the course to your cart and check out. On the Checkout page, select Pay Later. You will receive an email with an invoice and instructions to pay by check. Enrollment is not complete until the course is paid in full.

If your organization is tax-exempt, you must submit your tax-exempt certificate through My NCQA before registering.

Purchase order numbers may be included for payment and tracking purposes; however, NCQA does not accept additional terms and conditions outside the executed legal agreement. Any and all purchase order terms and conditions have no legal effect, and the license of the relevant product, subscription, or information tool is governed solely by the terms of the executed agreement between your entity and NCQA.

TEAM REGISTRATION

Team discounts apply when you register 3 or more individuals from your organization, at the same time, for the same program, using one payment method. Each registrant will receive the discount. Register 3–7 registrants, and automatically receive a 15% discount at checkout. Register 8 or more registrants, and automatically receive a 20% discount at checkout.

If you are registering a team, select the quantity, select the Register on behalf of option to exclude yourself from registration, then select Purchases, which will take you to your shopping cart. Your team will be registered with one payment method, and each will receive the team discount.

REGISTRATION AND CONFIRMATION

You will receive email confirmation when your registration has been processed. Enrollment is not complete until the course is paid in full. Do not make nonrefundable travel and hotel arrangements until you receive confirmation.

SUBSTITUTIONS

If you registered for a program and are unable to attend, you may designate a substitute registrant from your organization. Submit substitution requests through My NCQA. Enter the information of the substitute registrant. Substitution requests must be made before the first day of the program. The substitute registrant will receive email notification within 2 business days.

PROGRAM TRANSFER

If you cannot attend a program for which you are registered, you may transfer your registration fee to another open NCQA program (space permitting). Submit transfer requests through My NCQA. Provide the title of the program you want to transfer out of and the title of the program you want to transfer into. Requests must be made at least 10 days before the program starts. Program selection must be made at the time of the transfer. There is no fee to transfer, but transfers may be made only once. NCQA cannot honor transfer requests for self-paced programs, special events and conferences. You will receive a confirmation email within 2 business days. Do not make nonrefundable travel and hotel arrangements until you receive confirmation.

PROGRAM AND WEBINAR CANCELLATIONS/REFUNDS

If you cannot attend a program or a live webinar for which you are registered, you may request a refund. Submit refund requests through My NCQA. Registrants who cancel more than 10 business days before a program are entitled to a refund of the registration fee paid, minus a processing fee. The processing fee is $150.00 for a live webinar series (multiple webinars on one topic, for one purchase price) and an in-person event, and $25.00 for a single live webinar.

No refund will be given for self-paced webinars, or for cancellations less than 10 business days before the start of a program. Cancellation and refund policies are subject to change.

NCQA PROGRAM CANCELLATION

If an NCQA program is canceled, NCQA is not responsible for airfare, hotel accommodations and/or other incurred costs.

DISCOUNTS

Discounts must be requested at the time of registration and cannot be applied retroactively or combined. If more than one discount applies, the greater discount will be given.

CCE (Certified Content Expert) Team Discount: When a CCE registers at the full price for a live CCE Quarterly Webinar, one or more CCEs from the same organization are eligible to receive a discount when they register for that webinar. Submit requests for the discount through My NCQA after the first CCE registers at the full price. Include the name and email address for all CCEs who want to register at the discounted rate; NCQA will email a discount code. Requests must be made at least 24 hours before the posted webinar start time.

Early Bird Discount: If an early bird discount is available, the coupon code will be listed on the program registration page, to be applied during checkout.

Government Employee Discount: Federal, state and local government employees receive a 25% discount. The discount is applied automatically at checkout for registrants with a .gov, .mil or .us email address.

Other Government Employee Discount: Email a letter on agency letterhead to conference@ncqa.org, stating that you are a federal, state or local government employee. To receive this discount the letter must be received before you register.

HEDIS Users Group Discount: Members of the NCQA HEDIS Users Group receive vouchers for discounts on NCQA programs. Voucher criteria and discounts may vary and must be redeemed at registration. Vouchers may not be used for team training. Contact us through My NCQA with questions, or to request a discount.
