Payment in full is required to process your registration. A separate registration form for each participant is required and must accompany your payment. NCQA will not accept third-party checks.
You will receive a confirmation of your registration via fax or e-mail from NCQA within five business days of receipt of your payment. Because space in some seminars is limited, please wait to make travel and hotel arrangements until you have received confirmation of your registration.
If you have special needs, please contact NCQA Customer Support at least seven business days prior to the seminar. A representative can be reached at (888) 275-7585, Monday-Friday, 8:30 am-5:30 pm Eastern Time, or e-mail us at firstname.lastname@example.org to ensure your accommodation.
Once you have received your confirmation, contact the hotel where the seminar will be held to reserve your room. (See individual seminar descriptions on appropriate web page for site and contact information.) NCQA does not validate or reimburse for parking at any seminar. Casual business attire is appropriate. Please remember, conference rooms tend to be cool. We recommend you bring a sweater or light jacket.
If you have registered for a seminar and are unable to attend, you may designate a substitute registrant from your organization. Prior to the first day of the seminar, a completed Substitution Form is expected. Fax to NCQA Customer Support at 202-955-3531 or email to email@example.com
If your Substitution Form is received fewer than 10 days prior to the first day of the seminar, the substitute registrant may not have a pre-printed badge or receive a certificate at the program. A certificate will be mailed to the new registrant following the seminar.
Once received, a confirmation email will be sent to the substitute registrant within one business day.

If you have registered for a seminar and are unable to attend, you may apply your registration fee to another NCQA seminar. Prior to the first day of the seminar, the Seminar Transfer Form must be submitted.
A participant may transfer the registration fees paid minus the $75.00 transfer fee to any other NCQA education seminar offering with 12 months of the transfer date. NCQA is unable to honor transfer requests to and from online programs due to the unique nature of these programs. A registration fee may be transferred one time only. Transfer fees unused at the end of 12 months will be forfeited.
Once received, a confirmation email for the new seminar will be sent within one business day. Do not make travel and hotel arrangements, until you have received your registration confirmation.

If you have registered for a seminar and are unable to attend, you may request a refund for a seminar or online program registration. The Seminar Cancellation/Refund Form must be submitted at least 10 days prior to the start date of the seminar. Registrants canceling more than 10 days prior to the scheduled program are entitled to a refund of the registration fee paid, less a processing fee. The cancellation fee for seminars is $150.00; the cancellation fee for online programs is $25.00. There are no refunds for cancellations received fewer than 10 days before the start date of the seminar.
Once received, you will receive an email confirmation that your refund is being processed. Refunds will be made in the same form of payment received (credit card or check); and processing may take 30 days.

NCQA seminars are subject to cancellation. In the event that a seminar is cancelled, NCQA is not responsible for any airfare, hotel accomodation and/or other costs you incur.
Please note that the use of recording devices is prohibited for all NCQA education programs.
*Discounts are available for paid-in-full registrations only, and cannot be combined with any other discount(s). Discounts must be requested at the time of enrollment and cannot be applied retroactively.
Note: Seminar discounts do not apply for On-Line Programs.
Early Bird Discount
Please see individual seminar listings for discounts for registering in advance.
Register three or more individuals from your organization at the same time for the same seminar and receive 15% off of the regular seminar rate. Please submit a separate registration form for each person participating.
To allow employees of federal, state and local governments to take advantage of the unique learning opportunities offered by NCQA, we offer a 25% discount off the regular seminar rate. To receive this discount, your registration form and payment must be accompanied by a letter, on agency letterhead, requesting the government discount.
Members of NCQA's HEDIS Users Group receive vouchers for discounts on NCQA seminars. Voucher criteria and discounts may vary, and must be redeemed at the time of enrollment. For instructions on how to redeem your vouchers, please call NCQA Customer Support, (888) 275-7585. Vouchers may not be used for on-line programs or corporate training.
Certified HEDIS Auditors
Certified HEDIS Auditors are eligible for a discounted registration fee equal to 10 percent off the regular registration fee.
Registration for NCQA programs may include copyrighted program materials for attendees. Distribution of program materials is limited to registered attendees at NCQA programs. NCQA does not sell or provide additional copies of the program materials.
